Your questions, our answers.
Getting started
What is KitchenSync?
KitchenSync is the dashboard that brings together the whole activity of a kitchen store: from the sale to invoicing, including supplier orders, installation and after-sales. Salespeople, assistants, management and fitters work on the same files, in real time, instead of coordinating through spreadsheets and scattered messages.
Do I have to give up my 3D design software?
No. KitchenSync is complementary to your 3D design software: you keep designing and quoting your kitchens as you do today. KitchenSync takes over afterwards. You import the order form or the sales sheet, it reads the document and fills in the file, then you follow supplier orders, installations, after-sales and invoicing.
How long does it take to get to grips with the tool?
The interface uses the same landmarks as a spreadsheet (statuses, columns, visual alerts) — most teams create their first file during their first login. No training is required to start working.
Can I bring over my customer files already in progress?
Yes. You send us your current file (Excel or other) and we adapt it to retrieve as much information as possible, then your files are imported in one go. They are automatically flagged as carried over: they appear normally in your schedule and tracking, without distorting the month's revenue or your salespeople's commissions, since they are sales made before you joined KitchenSync.
How does setting up my store work?
A Management access is created for your store, with its own identifier used by your whole team to log in. You then set up your team (salespeople, assistants, fitters) and your existing files if you have any, before day-to-day work begins.
Can I try KitchenSync before committing?
Yes: the first month is free and carries no commitment, so you can test KitchenSync with your own files before deciding. If you continue, the subscription is taken for a term of 24 months.
Pricing and commitment
How much does KitchenSync cost?
Three plans depending on the size of your team: Essentiel at €100 excl. VAT per month, Business at €200 excl. VAT per month and Premium at €300 excl. VAT per month. Each additional profile (salesperson, fitter, assistant or Management access) costs €25 excl. VAT per month, whichever plan you are on.
What is the commitment, and how is it paid?
After the free trial month, the subscription runs for 24 months. Billing is monthly, by automatic SEPA direct debit.
What happens to my data if I stop?
If you cancel your subscription or withdraw, we hand you an export of your data, then delete it from KitchenSync's servers.
Day-to-day work on a file
How does a file move forward?
The file's status changes automatically from real events: order recorded, supplier confirmations, goods received, installation, invoice. Nobody has to remember a box to tick. The status shown therefore reflects the real state of the file, and the alerts stay reliable.
Does the software read my documents?
Yes. When you import a purchase order or a sales sheet, KitchenSync reads the document and fills in the file's amounts (price, margin, installation and delivery rates). The items to order are suggested to you and you confirm them line by line. Sales figures are never re-typed by hand by salespeople, which avoids mistakes and discrepancies.
How do you track supplier orders?
For each file, orders are grouped by product family (units, appliances, worktop, sanitaryware, accessories) then by supplier. You record the acknowledgement number and the expected delivery date, then the actual receipt. An alert warns you if goods have not arrived in time for the installation.
How does after-sales work?
Each after-sales job is a file in its own right, attached to the original sale: reason, photos of the issue, parts to reorder from the supplier, job planned in the schedule with the fitter. The cost of parts is tracked month by month, so you finally know what after-sales really costs your store.
Team and access
What user profiles are there?
Four profiles, each with its own dashboard: Management, the assistant or hostess, the salesperson-designer and the fitter. Each one sees only what concerns them: for example, a salesperson's commissions are visible only to them and to Management.
How many profiles can be created?
The number of profiles depends on your plan: Essentiel, Business or Premium. If you need an additional profile, it is simply added for €25 excl. VAT per month: write to us.
How are salespeople's commissions calculated?
Automatically, from the net margin of the month's sales. Management sets each salesperson's rate, and each salesperson follows their own commission on their dashboard.
Emails and SMS
Which emails does KitchenSync send to my customers?
Three emails, sent from your store's address if you have entered your mailbox: the order confirmation, sent automatically once the file is complete and a deposit is recorded; the "Delivery and installation" email, with all the dates, sent automatically (if a date changes later, the software offers to send it again); and the thank-you with the link to your Google page, which you send yourself whenever you like.
Can we send SMS messages to our customers?
Yes, as an option. Five days before the first job, the customer receives an SMS reminding them of their dates. They reply YES or NO, and their reply goes straight to the file's salesperson and the hostess. Management switches this option on when it wishes.
Invoicing and figures
Which invoices does KitchenSync produce?
Deposit invoices, the final invoice and, on request, a pro forma invoice for a customer who needs to release financing. Numbering is continuous with no gaps, as the regulations require. The detail of the final invoice follows your file: units, appliances, delivery, installation, eco-participation, with the right VAT rate on each line. Invoices are produced in Factur-X format (the French standard).
Which indicators can I follow?
Net revenue excluding VAT, net margin, progress against your monthly targets, appointment conversion rate, after-sales cost, the month's expected cash flow (deposits and balances on delivery) and the performance of each salesperson. You can go back month by month and export a summary as a PDF.
Do you manage several stores?
Yes. A group Management access lets the owner of several stores switch from one to another with a single login, with an overview of each outlet's revenue and margin.
Security and data
Is my data protected?
Each store has a completely separate space: one store's information is never accessible from another account. Connections are made exclusively over HTTPS, passwords are encrypted, and a full backup is made every day and kept for 30 days.
Can I get my data back?
Yes. You remain in control of your data: a full export is available on simple request, and Management can permanently delete a customer record and all its documents from their own space, in line with the GDPR.
Field work and mobile
What does the fitter see on their phone?
Their schedule of jobs, the job address (opened in the maps app), the customer's numbers to call, the plans and the fitting instructions. On site, they send the end-of-job photos and the signed certificate, and report a problem with photos. They can also create their invoice.
Does a self-employed fitter have to pay?
No: the fitter pays nothing, even if self-employed. Their accounts are counted within the store's plan (from 1 to 5 fitters depending on the plan; one more fitter is added for €25 excl. VAT per month, paid by the store). The same fitter can work for several stores with a single login.
Does the software exist in other languages?
The software interface is available in French, Italian and English. Other languages are planned.
